Working with the Head of General Practice, you will support GP practices by coordinating operational activities, managing communications, supporting projects and meetings, monitoring actions, and contributing to service improvements. You'll work closely with practice teams, Service Managers, Clinical Leads, and healthcare partners to help ensure services are delivered effectively.

Main duties of the job
You will support the day-to-day coordination of General Practice services across a network of GP practices, helping to ensure services run efficiently and effectively. The role involves organising meetings, preparing agendas and minutes, tracking actions, supporting service improvement projects, and maintaining data to inform decision-making. You will work closely with GP practices, clinical teams, and corporate colleagues, building positive relationships, supporting communication and engagement, and contributing to the development of consistent processes that enhance patient access, experience, and outcomes.

Coordination, Support and Development
Provide practical coordination and administrative support to the Head of General Practice, Service Managers, and practice teams across a defined network of practices.Support communication, planning, action tracking, and follow-up activity to help ensure agreed work is progressed in a timely and organised way. Work collaboratively with colleagues, escalating issues appropriately and contributing to a positive, supportive, and learning-focused team culture.Participate in supervision, appraisal, mandatory training, and continuing professional development as art of the role's development focus.Operational Coordination and Service Support
Support the coordination of Primary Care services across a network of GP practices, helping to maintain safe, effective, responsive, and patient centred delivery.Assist with the collation and monitoring of operational information, quality indicators, patient feedback, and service updates.Identify and escalate operational risks, issues, and barriers to delivery through agreed routes, supporting the maintenance of action logs and mitigation plans.Work with Finance, HR, governance, and operational colleagues to support information gathering, reporting, and effective use of resources.Support compliance with organisational policies, contractual requirements, statutory responsibilities, and regulatory standards, including safeguarding, health and safety, and information governance.Improvement, Standardisation and Project Support
Support service improvement and standardisation work across the network, contributing to agreed projects and workstreams under the direction of the Head of General Practice.Help document and maintain consistent operational processes, templates, guidance, and patient pathway information across practices.Use data, feedback, and service information to support the identification of improvement opportunities and to evidence progress.Assist with the implementation of new initiatives, service models, and operational changes aligned to organisational priorities.Stakeholder Working and Communication
Support work within the relevant Integrated Care Board footprint, helping to align local activity with commissioner priorities, contractual requirements, and organisational objectives.Develop effective working relationships with GP practices, Primary Care Networks, local partners, and internal teams.Attend operational, network, and stakeholder meetings as required, preparing papers, taking notes, recording actions, and supporting follow-up. Support communication between practices and Cumbria Health teams, helping to ensure information is accurate, timely, and appropriately shared. Work collaboratively with clinical and operational leaders to support services that are sustainable, clinically informed, and focused on patient outcomes.Governance, Risk and Compliance
Maintain confidentiality, information security, and good governance practice in all areas of work.Support governance processes by maintaining accurate records, action logs, risk information, and evidence of progress where required.
Assist with the review and implementation of policies, procedures, and operational frameworks relevant to service delivery and improvement. Undertake any other duties commensurate with the role, responsibilities, and Band 5-equivalent level.
Person Specification
Qualifications Essential
Educated to Level 4 or equivalent experience in administration, coordination, project support, healthcare operations, or a related field
Desirable
Level 5 qualification or willingness to work towards relevant development; experience of Primary Care or NHS services

Flexible approach to working arrangements, including occasional work outside standard hours where required to support meetings or service needs Ability to travel across Cumbria Health sites and practices as required by the role
