Job summary
An exciting opportunity has arisen for a Workflow Administrator to join our busy and friendly practice team.
The successful candidate will be responsible for processing incoming clinical correspondence, ensuring information is accurately reviewed and directed to the appropriate clinician or service. The role is key to supporting the safe and efficient management of patient records and workflows within the practice.

Main duties of the job
Processing and managing incoming clinical correspondence. Reviewing and coding documentation where appropriate. Forwarding information to clinicians for action. Maintaining accurate electronic patient records. Ensuring workflow tasks are completed within agreed timescales. Supporting administrative functions across the practice as required. Working in accordance with practice policies, procedures and confidentiality requirements.Training:

Job description Job responsibilities
Process all incoming clinical correspondence, including hospital letters, clinic reports, discharge summaries and diagnostic results, ensuring they are managed accurately and within agreed timescales.
Review clinical correspondence and accurately code relevant clinical information onto patients' electronic medical records in accordance with practice protocols and national coding guidance.
Identify actions required from incoming correspondence and forward documents, tasks or requests to the appropriate GP, clinician or member of the practice team for review or action.
Maintain accurate, complete and up-to-date electronic patient records, ensuring all information is entered correctly and consistently.
Prioritise workload effectively to ensure workflow tasks are completed within agreed turnaround times, highlighting any potential delays to the Workflow Lead or management team.
Recognise urgent or clinically significant information and escalate immediately to the appropriate clinician in line with practice policies to support patient safety.
Liaise with clinicians and colleagues where clarification is required to ensure correspondence is processed correctly and efficiently.
Support the administrative team with general office duties when required, including scanning, filing, processing registrations, deductions and other administrative tasks to support service delivery.
Maintain strict confidentiality at all times, ensuring compliance with GDPR, Information Governance requirements, Caldicott Principles and practice policies.
Work collaboratively with the wider practice team to support the smooth running of workflow processes, sharing knowledge and contributing to continuous service improvement.
Participate in team meetings, monthly QUEST training sessions, mandatory training, appraisals and quality improvement initiatives, keeping knowledge and skills up to date.
Contribute to maintaining a positive, professional and patient-focused working environment, demonstrating flexibility to meet the changing needs of the practice.
Undertake any other duties that are appropriate to the role and commensurate with the level of responsibility, as requested by the Practice Manager or Operations Manager.
Person Specification
Experience Essential
Previous administrative experience. Excellent attention to detail and accuracy. Good IT skills and confidence using electronic systems. Ability to prioritise workload and work independently. Strong communication and organisational skills. Understanding of confidentiality and information governance.
Desirable
Previous experience working in General Practice or a healthcare setting. Knowledge of clinical systems such as SystmOne. Experience of medical coding and workflow processes. Understanding of NHS primary care services.
