The Surgery at Wheatbridge is looking to recruit an enthusiastic, organised, and patient-focused General Practice Assistant (GPA) to support our clinical and administrative teams in delivering high-quality patient care.
This is an exciting opportunity to work within a busy GP practice and play a vital role in improving efficiency, supporting clinicians, and enhancing the patient experience.
About the Role
The General Practice Assistant provides administrative and non-clinical support to GPs and the wider clinical team, helping to reduce the administrative burden on clinicians and enabling them to focus on direct patient care.

Main duties of the job
Key duties will include:
Processing and coding clinical correspondence Managing patient referrals and tracking outcomes Arranging investigations and appointments as directed by clinicians Preparing information for clinical reviews and meetings Processing hospital letters and updating patient records Supporting recall systems and chronic disease monitoring programmes Liaising with patients, hospitals, community teams and other healthcare providers Assisting with practice audits, reports and quality improvement initiatives Supporting administrative processes relating to prescriptions and patient registrations Undertaking a range of general administrative tasks to support the practice teamPreparing Insurance reports and other various forms for the practices clinicians

GP Assistant (Administrative)
Job Title: GP Assistant (GPA) Responsible to: Practice Manager Operational Supervision: GP Partners and Clinical Team Location: The Surgery @ Wheatbridge Hours: 33 hours Salary: £13.44 - £15.45 (Dependant on experience)
Job Purpose
The GP Assistant (GPA) provides dedicated administrative support to GPs and the wider clinical team, helping to streamline workflows, improve efficiency, and reduce administrative burden on clinicians. The role enables GPs to focus on direct patient care by undertaking delegated non-clinical tasks and coordinating patient care processes.
Key Responsibilities
Clinical Administration
Process and action clinical correspondence under GP direction. Review and process incoming hospital letters, discharge summaries, test reports and other clinical documentation. Prepare patient records and documentation for clinics and appointments. Manage clinical task lists and workflow systems. Arrange investigations, follow-up appointments and referrals as delegated by clinicians. Ensure patient information is accurately coded and recorded within the clinical system. Support recall and monitoring systems for long-term condition management and preventative health programmes. Assist with managing and tracking referral pathways. Patient Coordination
Act as a point of contact for patients requiring assistance with appointments, referrals, investigations and follow-up arrangements. Liaise with hospitals, community services and other healthcare organisations regarding patient care pathways. Support care coordination for patients with complex needs. Ensure patients receive information and updates as directed by clinicians. Information Management
Maintain accurate and up-to-date patient electronic records. Process incoming and outgoing correspondence. Ensure compliance with confidentiality, data protection and information governance requirements. Assist with data collection, audits and reporting requirements. Support Quality Improvement (QI) projects and service development initiatives. General Administrative Support
Provide direct administrative support to GPs and clinicians. Draft routine correspondence as requested. Monitor and action shared practice inboxes and workflow systems. Assist with maintaining practice protocols, templates and documentation. Support achievement of practice targets and contractual requirements. Contribute to service improvement and efficiency initiatives. Team Working
Work collaboratively with GPs, nurses, reception staff, pharmacists and allied health professionals. Attend relevant meetings, supervision sessions and training events. Maintain effective communication with colleagues and external organisations. Contribute positively to the operation of the practice and patient experience.
Person Specification
Qualifications Essential
GCSE Grade C/4 or above (or equivalent) in English and Maths Willingness to undertake specific GPA training
Skills and Knowledge Essential
Excellent organisational and time management skills Strong written and verbal communication skills High level of accuracy and attention to detail Ability to prioritise workload and meet deadlines Good IT skills, including Microsoft Office applications Understanding of confidentiality and data protection requirements
Desirable
Experience working in General Practice or the NHS. Knowledge of SystmOne Understanding of primary care services and referral pathways.
