Job Description:

Summary:

This position coordinates the administrative and facility/event support functions for faculty, staff, and students within the School of International Service. This position serves as the primary contact for scheduling and logistics of internal (non-“special”) events occurring within SIS, as well as renting, scheduling, and logistics of SIS space to external organizations. This position is the primary contact person for all inquiries about the school and in this capacity serves as the Manager responsible for ensuring that the SIS Hub operates smoothly. They also serves as the primary liaison with other university offices related to office relocation and new hire on-boarding logistics.

This position reports directly to the Senior Manager, Facilities Operations and is directly responsible for the daily supervision of 15 - 25 Federal Work Study (FWS) students. Although some direction may be provided, this position requires a minimal amount of supervision and often executes tasks on its own.

This position is responsible for overseeing the logistics that ensures full-time faculty, adjunct faculty and staff receive the resources and services they need to perform their job. They order approximately office supplies; oversee booking of events. This position is responsible for the maintenance of office equipment.

Essential Functions:

1.) Events

• The incumbent is responsible for overseeing and maintaining the EMS scheduling system to process space requests for event and meeting spaces within SIS. They work with the Senior Manager of Facilities Operations to develop and adjust policy and procedures for planning and executing events in the school and communicates said policies and procedures to those with inquiries. Manages student staff that facilitates setting up logistics for events within SIS. This position is responsible for managing inventory of event related equipment (tables, chairs, etc.), and assists with allocating resources (staff, furniture, equipment, etc.). They may be required to lift and move furniture and equipment and personally address matters of an urgent and immediate nature. They are SIS liaison for Summer Conferences and coordinates external group invoicing for summer clients.

2.) Administrative

• Manages inquiries of faculty, staff, visitors, and high-profile guests. Hires, trains, and supervises up to 2 student wages and 15 - 25 Federal Work Study (FWS) student staff at the SIS HUB front desk. The position coordinates inventory of HUB supplies and places weekly orders and maintains office supplies for all faculty and staff within SIS and EQB. Reports maintenance concerns of office equipment and monitors those service contracts. Coordinates faculty copy and scan requests.

3.) Facility Support

• This position assists the Senior Manager of Facilities Operations in planning and coordinating faculty moves and other office and storage space assignments. They also assists with developing policies and procedures for facility related issues and enforces facilities related policies to ensure safety of the community. The incumbent is the second point of contact for building maintenance requests, after the Senior Facilities Manager. This position assists in maintaining the SIS key inventory for faculty, staff and students as necessary.

4.) Other Duties as Assigned

• This position handles special requests and inquiries as assigned.

Position Type/Expected Hours of Work:

• Full-time.

• 35 hours per week

• Full on-campus presence required.

• Must be able to work occasional nights or to provide event coverage.

Salary Range:

• $26.47 - $28.57 per hour.

Required Education and Experience:

• Bachelor's degree or equivalent in training and experience.

• 2 - 4 years of relevant experience.

• Excellent written and verbal communication skills, and attention to detail are required.

• Demonstrated ability to develop and maintain working relationships in a culturally diverse environment.

• Proficiency in computer applications is essential.

• Must be able to lift and/or move objects up to 25 pounds.

Preferred Education and Experience:

• 3 - 5 years of relevant experience.

• EMS and Workday software proficiency preferred.
