We are looking for a Bilingual Team Assistant in our office in Luxembourg. About Tetris Tétris, a subsidiary of JLL Group, specializes in the design and development of professional work spaces. We assist our clients as a consultant and general contractor and offer a full turnkey service to companies wanting to fit out their offices, as well as investors who want to renovate or refurbish their properties (shops, offices, hotels, bank agencies). Present on 3 continents and in 18 countries, Tétris, current leader in Design & Build, continues its growth with a turnover of approximately 700 million euros and more than 900 employees in EMEA. The Role As an integral member of the team, you will be involved in different missions: Financial: recording and follow-up of fee invoicing, payments and reminders, updating of documents, follow-up of accounting processes and deadlines, management of supplier contracts, financial follow-up of subcontractors with project managers, recording of supplier invoices, follow-up of dashboards, management of flows in the various reporting tools (salesforce, etc.)... Project management finance: recording and management of invoices, follow-up of validations and transmission for payment, follow-up of dashboards and financial reports, etc. Administrative: phone reception, making appointments, diary management, room reservations, checking expense claims, welcoming and integrating new arrivals, organizing job interviews, formatting documents, filing contracts, managing correspondence, etc. Sales: participation in the administrative side of tender applications, support for bid presentation. Support for IT tools, in particular creating accesses according to projects, setting up presentations, etc. Internal purchasing: team travel bookings, reprography/office supplies order management... Furniture & Asset Management: Coordinate furniture orders, deliveries, and installations for client projects, ensuring alignment with project timelines and budgets. Liaise with furniture suppliers and vendors regarding product specifications, quotations, delivery schedules, and warranty information. Support project teams with furniture specification research, sample coordination, and documentation for client presentations. Track furniture-related expenses and maintain records for budget reconciliation and reporting purposes. Sound like you? To apply you need to be / have 1st experience assisting a team, Excellent command of the Office package (Word, Excel, PowerPoint, Outlook), Bilingual in French AND English, Strong analytical skills, dynamic and rigorous, Highly autonomous and proactive, Strong organizational skills, Respect for confidentiality and discretion, Good interpersonal skills and sense of teamwork (internal and external contacts- Communication skills such as diplomacy and firmness).
