This is a high-trust environment. There are no multiple stakeholders or complex corporate hierarchies — the Founder is the primary decision-maker. The right candidate must be comfortable operating in a direct, context-rich, autonomy-heavy structure.
Overall purpose and responsibilities of the role:
While structured similarly to a classic EA role (inbox, scheduling, coordination), this position requires significantly higher autonomy, strategic thinking, and operator mindset.
The Founder communicates in context rather than step-by-step instructions. The right candidate must be able to absorb complexity, distill priorities, and drive execution independently.
Over time, scope may expand based on demonstrated ownership and capability.
Duties and Responsibilities:
Core Responsibilities
1. Executive Support & Inbox Ownership
Own daily inbox triage aligned with Founder standardsDraft high-quality responses reflecting tone, context, and judgmentIdentify what requires Founder input vs. independent resolutionEnsure no critical communication or commitments are missed
2. Open Loop & Commitment Tracking
Maintain a live tracking system of commitments, action items, and deadlinesMonitor follow-ups across team members, vendors, and contractorsProvide concise daily/weekly executive briefs including:Top prioritiesRisks or bottlenecksPending decisionsTime-sensitive items
3. Calendar & Strategic Time Management
Manage calendar thoughtfully (not just booking meetings)Protect focus time and reduce context switchingCoordinate travel and key logisticsAnticipate conflicts and proactively resolve scheduling friction
4. Project & Execution Ownership
This role includes lightweight but high-impact project coordination.
Translate high-level context from the Founder into structured execution plansTrack milestones, owners, and timelines across initiativesEnsure cross-functional projects move forward without constant Founder follow-upIdentify bottlenecks early and escalate with proposed solutionsCoordinate across contractors and vendors to maintain execution momentumMaintain simple dashboards or trackers for visibility (without adding unnecessary bureaucracy)This is not corporate PMO-style project management.
It is lean execution ownership in a fast-moving, low-meeting environment.
5. Lightweight Process Improvement

Required skills and qualifications
3 to 5+ years’ experience as Executive Assistant or similar high-trust roleDirect experience supporting a Founder or C-level executiveExceptional written and verbal English communicationStrong judgment and pattern recognition abilityExperience tracking projects and driving follow-throughAbility to operate independently in ambiguityHigh discretion and confidentialityExperience working remotely
Preferred background
Experience in lean startups or founder-led businessesExposure to operational or project ownershipFamiliarity with Google Workspace and modern productivity toolsBackground supporting executives in growth-stage environments
