About the JobThe Medical Executive Assistant will support a growing physician practice with a mix of healthcare administration, executive support, and operational coordination. This role will be responsible for managing provider credentialing with hospitals and insurance companies, maintaining calendars, handling data entry, organizing sensitive medical documentation, and supporting EMR-related tasks.
The ideal candidate for this role may also assist with insurance-related administrative work, including prior authorizations and patient pre op coordination when needed. In addition, the role will support ad hoc business and administrative projects, including conducting online research, building physician referral lists, compiling contact databases, and organizing information for outreach and operational follow-up. This position requires someone who can bring structure to a busy practice, work with minimal supervision, and take ownership of tasks from start to finish.
Core ResponsibilitiesManage provider credentialing and enrollment with hospitals and insurance companies Assist with insurance verification, authorizations, and payer communication Support patient pre-operative coordination when needed Retrieve, organize, and send medical documentation such as procedure notes, consult notes, operative notes, visit notes, and imaging records Maintain calendar scheduling, email coordination, and administrative support for the physician or practice leadership Perform data entry and organization of sensitive medical and operational documentation Maintain tracking sheets, provider records, referral lists, and operational databases Conduct online research to compile physician referral lists, provider directories, and contact databases Organize information for outreach, operational tracking, and follow-up activities Support ad hoc administrative and operational projects as needed Requirements
Prior experience in healthcare administration, medical administrative roles, credentialing, insurance verification, or medical executive assistant positions Familiarity with medical terminology and healthcare workflows Experience with provider credentialing and insurance enrollment processes Experience working with EMR/EHR systems Hands-on experience with insurance authorizations and payer communication Experience organizing and handling medical documentation Strong administrative skills including calendar management, email management, and data entry Experience conducting online research and compiling structured data Highly organized and detail-oriented Strong communicator Independent and resourceful Proactive with strong follow-through Comfortable multitasking and managing shifting priorities Professional and confident when communicating with hospitals, clinics, and insurance companies Strong ownership mentality and problem-solving ability Ability to execute tasks with minimal supervisionBenefits
