I-CAR leadership believes that the future of the organization will be importantly influenced by its continuing innovation and relevance of its products, technical programs and services.</p> <p> </p> <p><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif"><strong><span style="font-family:'Trebuchet MS', sans-serif">Position Summary</span></strong>: </span></span></p> <p><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">This position will be responsible for ensuring all I-CAR specialty training events are scheduled and instructors assigned in an efficient manner that promotes product integrity and supports organizational needs. The Associate, Specialty Training Coordinator will work under the direction of the Manager, Scheduling to ensure all major milestones are met and the output is accurate and compliant.</span></span></p> <p> </p> <p><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">I-CAR Specialty Training administers and conducts manufacturer driven certification and training programs, as well as to conducting I-CAR Training courses delivered from established locations. Associate, Specialty Training Coordinator will support these certification and training programs by providing scheduling, administrative and general coordination support to the team. This individual will work cross functional with key internal and external stakeholders.</span></span></p> <p> </p> <p><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">This position will have occasional needs for in office work and candidates must be willing to commute to one of our offices in the following locations: Hoffman Estates, IL; Vernon Hills, IL; Appleton, WI </span></span></p> <p> </p> <p><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif"><strong><span style="font-family:'Trebuchet MS', sans-serif">Primary Responsibilities include, but are not limited to, the following. Other duties may be assigned.</span></strong></span></span></p> <ul> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Scheduling various types of specialty training events using specific processes that meet established goals and initiatives.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Posting training events in established system utilizing defined processes.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Administrative support, maintaining information in systems and data entry.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Reporting results and maintaining established systems.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Written and verbal communication to students and instructors throughout the specialty training event process, including follow up on inquiries and requests.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Administer student registration process and obtain prerequisite reports.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Organize and maintain course waitlist.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Invoice customers for training courses and services rendered.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Maintains and organizes training schedule calendars.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Provide support related to class schedules, delivery of training and travel recommendations.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Participate in regular status meetings with key customers.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Take necessary actions based upon information received from Scheduling Manager and Specialty Training staff.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Analyze incoming emails, submissions and requests to determine their significance, and prioritize them according to department procedures.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Serve as I-CAR scheduling contact for external customers as needed.</span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Act as a backup to existing scheduling staff when necessary.</span></span></li> </ul> <p> </p> <p><u><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif"><strong>Experience and Education:</strong></span></span></u></p> <ul> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">High School Graduate or General Education Degree (GED) </span></span></li> <li><span style="font-size:11.0pt"><span style="font-family:Arial, sans-serif">Two to four years of administrative experience is required.
