Human Resources Coordinator – Onsite – Montreal
Aspire Software is seeking a driven, detail-oriented, and proactive Human Resources Coordinator to join our growing People team!
This is a fully onsite role based in our Montreal office and requires daily, in-person presence. This role is ideal for someone who thrives in a fast-paced, decentralized environment, takes ownership without being asked, and is energized by building strong, compliant HR operations across both the United States and Canada. You will play a critical role in supporting employees and leaders while ensuring our people practices are compliant, scalable, and employee-centric.
The Human Resources Coordinator will work closely with an HR Business Partner and support a portfolio of software businesses operating across North America.

What your day will look like:
Serve as a first point of contact for employees, providing timely, thoughtful support on HR policies, processes, and employment-related questionsOperate within our HR helpdesk system to manage and resolve employee inquiries efficiently and accuratelyMaintain employee data and documentation in BambooHR and related systems, ensuring accuracy and confidentialitySupport compliance with US federal, state, and local employment laws as well as Canadian federal and provincial employment legislation Assist in maintaining compliant HR policies and practices across jurisdictions, flagging risks and proactively recommending improvementsConduct regular audits of employee files and HR processes to ensure compliance with legal, internal, and SOC 2 requirementsUpdate and maintain HRIS (BambooHR) and other employee-related documentsOwn and continuously improve onboarding processes to ensure a strong, consistent employee experienceCoordinate offboarding processes, including exit interviews and documentation, ensuring a smooth and compliant transitionSupport compensation-related activities, including offer letters, promotions, salary changes, and bonus documentationPartner with the HR Business Partner to support employee engagement, development, and recognition initiativesProactively take on stretch projects to support strategic initiatives and learn new skills in support of business prioritiesAbout You:
3+ years related experience, ideally in a multi-entity or fast-growing environmentA bachelor’s degree in Human Resources Management or a related fieldHands-on experience with both US and Canadian employment laws and compliance requirementsProven experience navigating, completing data entry, and generating reports in an HRISDemonstrated problem-solving skills to analyze issues, propose solutions, and address challengesSkilled at providing clear, effective, and timely communicationExceptional planning, organizational and time management skills with the ability to manage changing priorities, handle multiple projects, meet deadlines, and adapt to a changing business environmentYou are highly curious, welcome questions, and delight in providing information and solutions for othersYou have a growth mindset and are adaptable to changeSelf-starter, able to work both independently and as an active member of both business and HR teamsFluency in both written and verbal English and French is essential Legally authorized to work in Canada is essentialFor information about Aspire Software, please visit our website at www.aspiresoftware.com
