About this role

The Senior Administrative Assistant, Corporate Communications (CC) is responsible for all administrative functions and tasks to support the CC department. This includes managing calendars, scheduling travel, managing correspondence, scheduling couriers, process expense reports, planning meetings/events, creating or revising business documents, assist in preparing presentations from source materials, handling virtual/teleconference meetings. In addition to administrative oversight, this is role also responsible for managing projects that support programs across the CC team. This role will report directly to the Vice President, Corporate Communications.

Key Responsibilities:

Provides advanced administrative support to the Vice President, Corporate Communications. Light admin support for VP direct reports: scheduling larger meetings, planning food/sourcing location(s), pulling together materials for larger meetingsPlanning and logistics support for CC all-staff meetingsVeeva Project Management – general project management across the CC leadership team (LT), e.g., helping to track with deliverables, plans, decks, etc.Management of files on CC Teams channel – e.g., helping us archive and keep team-related items organized and up to dateUses intermediate to advanced software skills to perform assigned work. Uses and understands Microsoft Office Suite and other business-specific software, including Corporate Travel website (Domestic and International travel) and other programsAssist with entering and tracking media inquiries into department databasePull media articles, full-text of stories, media monitoring reports, broadcast clips, etc.Proficient at proofreadingManage printing, binding and deliverables to C-Suite executives of CC materialsSupport for hard copy pre-reads and CEO briefingsConsistently handles confidential or business-sensitive informationCoordinates new employee office setups and onboardingThis role is onsite 5 days a week

3-5 years of administrative assistant-related experience. High School diploma or equivalentExperience providing support to a VP level or equivalentExceptional project management skillsIntermediate to advanced knowledge of Microsoft Office Suite, Outlook, Adobe Acrobat, understanding of business processes and requirementsSelf-starter able to function at a high-level with general instructionBuilds strong relationships with peers and cross-functionally with partners outside of assigned group, as necessary, to enable effective and efficient Corporate Affairs operationsTeam-oriented, can-do attitude and desire to be productive contributor to overall organizationLearns quickly and can change course quickly when neededOpen to suggestions and innovation for improvementProfessional demeanor and ability to maintain confidentiality Applicable only to applicants applying to a position in any location with pay disclosure requirements under state or local law: ​

The compensation range described below is the range of possible base pay compensation that the Company believes in good faith it will pay for this role at the time of this posting based on the job grade for this position. Individual compensation paid within this range will depend on many factors including geographic location, and we may ultimately pay more or less than the posted range. This range may be modified in the future. ​

This job is eligible to participate in our short-term incentive programs. ​
