Job summary
We are looking for a new receptionist to join our existing practice team.
If you are looking for a new role which is varied, involves dealing with people both in person and on the telephone this might just be the role for you!
Main duties of the job
Hours: 24.5 per week on a permanent basis.
Working hours will be Monday, Tuesday 0830-1630 and Wednesday 0830-1830.
Applicants MUST have flexibility to work additional hours to cover holidays and sickness.
To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team.
Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required.
To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
Due to training requirement temporary applications will not be considered.

Patient Communication & Reception
Front-Desk Service: Welcoming visitors, checking-in patients for appointments, and creating a calm, welcoming environment. Call Management: Handling incoming phone calls, inquiries, and directing patients to the most appropriate healthcare professional using triage or care navigation protocols. Handling Difficult Situations: Listening empathetically and remaining calm and polite when dealing with distressed or angry patients. Signposting: Guiding patients to the correct services or specialists.Appointment & Schedule Management
Booking & Scheduling: Arranging new appointments, follow-ups, and clinic visits. Rescheduling: Assisting patients in cancelling or altering appointments and managing waiting lists. Urgent Requests: Identifying and accommodating urgent walk-ins or same-day consultations according to practice protocols. Home Visits: Receiving, logging, and prioritising requests for home visits by doctors.Administration & Record Keeping
Data Entry: Updating and maintaining accurate, secure patient records on clinical computer systems (EMIS Web). Processing Requests: Handling repeat prescription requests, coordinating test results, and processing referrals. Patient Confidentiality: Protecting sensitive health information strictly in line with privacy and data protection policies. Financial Duties: Advising patients of private service charges, processing payments, and issuing receipts
Person Specification
Qualifications Essential
Education Educated to GCSE level or equivalent, with passes in English and Mathematics. Experience: Previous experience working with the general public, in customer service, or in a healthcare/GP administration setting. Communication: Excellent verbal and written communication skills with a clear, polite, and confident telephone manner
