Job summary

Warrengate Medical Centre is a busy and friendly town-centre Doctors surgery providing a full range of NHS services to a list size of more than 11,500 patients. We are a high achieving friendly training Practice with an excellent reputation situated in the Centre of Wakefield close to transport links and local amenities.

We are committed to maintaining our high standard of patient care and customer service in a friendly and professional environment and we are currently looking a part time Practice Administrator to join our friendly team.

This is a permanent position. The working patterns required are detailed below, however flexibility is required for covering annual leave and sickness absences.

Tuesday : 10.00am - 6.30pm

Wednesday : 10.00 - 6.30pm

Thursday : 8.00am - 4.30pm

Main duties of the job

The candidates we are seeking should be experienced in delivering excellent customer service, maintaining professionalism, discretion and confidentiality at all times and able to work well under pressure both independently, and as part of a team.

You will need to have excellent communication and organisational skills, together with a caring and solution focused approach to patient related problems. The main duties will be answering phones and dealing with patients face to face, care navigating patients to the most appropriate person / service to help, dealing with repeat prescriptions, scanning, managing patient related tasks as directed by the Practice team.

You will have the ability to remain calm in difficult situations as well as having the initiative to identify outstanding workload and support the team in completing this. Flexibility to cover colleagues annual leave and sickness is essential.

Full training will be given but Medical Administration and Receptionist experience in a similar environment would be advantageous.

Job description Job responsibilities

Duties will include, but are not limited to:

Booking appointments for patients following care navigation ensuring patients access the most appropriate services within the practiceScanning and workflowing incoming correspondence within the clinical systemDealing with general enquiries from patients and prioritising the management of these Dealing with repeat prescription orders and prescription queries Managing your time and workload efficientlyAssisting with the smooth running of clinics and surgeriesProviding help and advice to all visitors to the surgery and the buildingRegistration of new patients to the PracticeProcess patients change of address and contact details within the clinical systemDealing with tasks that clinicians may assign to you in an effective and timely mannerCovering colleagues shifts in the event of sickness or annual leaveEffective communication between staff, the practice, patients and other agenciesUnderstanding and implementation of the practice protocols and proceduresCarrying out the daily tasks set for you by the Office ManagerAttending training and staff meetings as requiredSupporting with other reasonable duties as requiredFollow the practices Infection Prevention & Control policies and protocols

Experience Essential

Relevant experience of working within a busy office environment

Skills and Qualities Essential

Competent user of the Microsoft Office Suite (Word, Excel, and Outlook) Deal with confidential matters in a sensitive way. File documents in logical format. Prioritise and work on a number of different tasks simultaneously. Excellent communication skills (both written and oral). Willingness to undertake a wide range of duties. The ability to solve problems under pressure. Work with minimum supervision. Possess excellent time management skills Willingness to learn and develop new skills Ability to work as part of a team and on your own initiative Be decisive yet maintain a customer-focused approach Trustworthy, honest, reliable, caring and sympathetic

Qualifications Essential

5 GCSEs, or equivalent (inc Maths and English) Evidence of a commitment to continuing professional development.

Desirable

RSA Stage I or II typing and/or Word Processing or equivalent
