Job summary
An exciting opportunity has arisen for an experienced person to work as an Administration Assistant in our North Cumbria Inpatient Services.
You will be the first point of contact working on reception in a ward environment, providing administrative support directly to the ward multidisciplinary team and supporting across all wardswhen required.
This role provides a comprehensive administrative support to the service, working Monday to Wednesday 9am to 5pm. Proven experience of working in similar work environment is an advantage.
Main duties of the job
The post holder will be able to evidence:
Experience of front-facing reception duties. Experience of call handling in a busy environment - It is critical that excellent customer service is delivered in person or over the telephone. Good organisational skills. Be able to prioritise a fluctuating workload. Proven experience of working with Microsoft Office packages. Diary management skills to coordinate room bookings. Provides agreed levels of support to the service to maintain cover in the absence of other administrative staff. Desirable: A working knowledge of electronic patient record systems (i.e. RiO) The post holder must be able to demonstrate the ability to deal with possible exposure to highly distressing or highly emotional circumstances and will be expected to participate in all relevant training courses appropriate to the role.
The post holder may also undertake additional duties as directed by the Administration Manager.

Person Specification
Education and Qualification Essential
Intermediate (Level 2) Typing/Word processing qualification and/or relevant demonstrable experience e.g. 12 months experience. Good general level of education up to Level 1 standard in English Language and Maths.
Desirable
NVQ Level 2 in Business Administration. NVQ Level 2 in Customer Service. Working towards Level 2 standard in Maths and English.
Skills and Knowledge Essential
Working knowledge of Microsoft applications including Outlook, Word, Excel and Power Point. Able to input data accurately and efficiently. Undertake repetitive tasks whilst maintaining attention to detail. Good communication and interpersonal skills, both verbal and written, face-to-face and non-facing customers. Demonstrates good customer care skills at all times. Good working knowledge of office procedures. Good organisational and planning skills using own initiative.
Desirable
Knowledge of working in an NHS environment.2 Ability to maintain and update patient information database(s).
Experience Essential
Ability to uphold confidentiality at all times. Able to prioritise and plan own workload. Experience of carrying out administrative tasks, e.g., data input, receiving and making telephone calls.
Desirable
Experience of working in an NHS/health care setting. Experience of processing NHS/health care documentation. Experience using stock ordering and/or petty cash systems. Experience of working with paper-based and electronic filing systems.
Disposition Essential
Discrete in handling confidential and sensitive information. Able to work in accordance with Trust values and attitudes. Must be able to demonstrate an understanding of equality and diversity.
Desirable
