Job summary

PriDerm Community Dermatology Service is excited to welcome a new administrator to our friendly admin team! This opportunity would be perfect for a young, dynamic individual whos eager to learn and get involved in all areas of administrative work. Were looking for someone enthusiastic, willing to grow, and ready to become a valued part of our service.

The role is working Monday to Thursday until 5:30pm and Fridays until 4:30pm (start time to be confirmed). Please note that this position does not include an NHS pension.

Main duties of the job

The main tasks will be to respond to telephone calls in a timely, professional and helpful manner, to take messages with accuracy and obtaining sufficient patient details. Your responsibilities will be to ensure that all patients booked into clinics have their appointment and intention to attend confirmed in a timely fashion this also includes patients being booked into cancellation slots at short notice as required.

Ensure an effective and efficient telephone service is provided to patients and any other parties who contact the service. Respond to telephone calls in a timely, professional and helpful manner. Take message ensuing accuracy of details prompt and appropriately. Obtain sufficient patient details including a name, reference and contact telephone number for all callers.

Deal with all general enquiries, explain procedures and make new and followup appointments.

Using your own judgement and communication skills, ensure that patients with no prior appointment but who need an urgent consultation are seen in a logical and non-disruptive manner.

Explain PriDerm service arrangement and formal requirements to new patients and ensure procedures are completed.

Help to ensure all patients booked into clinics have their appointment and intention to attend confirmed in a timely fashion. Ensure patients are booked into cancellation slots at short notice as required.

Ensure correspondence, reports, reports etc. Are filled promptly and in the correct records, ensuring that all recent correspondence is available when patients attend their consultation.

Scanning and filling

Updating medical records as directed by the partners.

Complete all admin work for month end including 18 week waits, read codes, follow ups and discharges.

Ensuring all test results are present for consultations

Ensuring all referral letters are present for consultations

Person Specification

Experience Essential

Excellent telephone manner Good communication and interpersonal skills Ability to organise and priorities a varied workload Good at working within a ream and on own initiative Full Drivers Licence with business insurance

Qualifications Essential

GCSE grade 5 or above in English and Maths
