Job summary
We are looking to recruit a part-time Administrator to join our friendly, supportive, and professional administrative team here at Brockworth Surgery, a busy NHS GP practice in Gloucester.
This role is ideal for someone looking for a varied administrative position within Primary Care. Youll play an important role behind the scenes, supporting clinicians and patients by ensuring medical records are accurately maintained, correspondence is processed efficiently, and essential administrative services are delivered to a high standard.
We are looking for one part-time position of 24 hours per week to perform a variety of duties within our Admin office.
The hours will be worked over three days per week, with some flexibility around start and finish times. Specific working patterns will be discussed and agreed with the successful candidate.
Main duties of the job
The Administrator plays a key role in supporting the smooth and efficient running of the practice by maintaining accurate patient records and ensuring important clinical information is processed correctly. The role includes summarising and coding medical records, scanning and managing patient correspondence, processing new patient registrations and deductions, providing cover for the test results line and supporting the wider administrative team. The successful candidate will be highly organised, detail-oriented and committed to delivering a professional, confidential and patient-focused service.

Brockworth Surgery has around 11,500 patients registered with us and we are part of the NSG Primary Care Network.
Our team is made up of GPs, Practice Nurses, Physiotherapist, Mental Health workers, HCAs, Clinical Pharmacists, Pharmacy Support, Admin, Secretarial and Reception teams, Care Co-ordinators and Social Prescribers. Overall, we have about 50 people working here to deliver high quality care to our community.

Key Responsibilities
As an Administrator, you will be responsible for a variety of administrative duties, including:
Summarising and accurately coding patient medical records onto the clinical system
Reviewing historical and incoming patient records to ensure key clinical information is recorded appropriately
Scanning, attaching and processing incoming correspondence to patient records
Managing document workflows and ensuring patient information is filed accurately and securely
Processing new patient registrations and deductions in accordance with NHS and practice guidelines
Providing cover for the practice test results line and communicating results to patients in line with clinician instructions
Handling patient queries in a professional, courteous and confidential manner
Supporting the wider administrative team to ensure the smooth running of practice services
Maintaining patient confidentiality and complying with NHS Information Governance and Data Protection requirements
Working collaboratively with colleagues to provide cover and support across the administrative team as required
Person Specification
Experience Essential
The successful candidate will have previous administrative experience, excellent organisational skills, and a high level of accuracy and attention to detail. They will possess strong IT skills, including experience using Microsoft Office applications and be able to communicate effectively with patients, colleagues and external organisations. The ability to manage a varied workload, maintain confidentiality, work both independently and as part of a team, and demonstrate a professional, flexible and patient-focused approach is essential.
Desirable
Previous experience working within a GP practice, NHS, or healthcare environment would be advantageous. Knowledge of clinical systems such as SystmOne, experience of summarising and coding patient records and an understanding of NHS registration processes, medical terminology would be beneficial. Experience handling patient queries and working with confidential clinical information is also desirable.
Qualifications Essential
Educated to A-Level or equivalent. You must have GCSE English and Maths grade A-C.
