As our Business Operations Coordinator, you'll play a central role in keeping our business connected, organised and operating at its best. Reporting to the Chief Operating Officer, you'll partner closely with the CEO, COO and Senior Leadership Team to support key business operations, strategic initiatives and an exceptional employee experience across our global offices. This is much more than a traditional administration role. You'll own our travel and expense platform, coordinate business operations and help create welcoming, high-performing workplaces that enable our people to do their best work.

What you will doHelp EP to run smoothly
Coordinate Education Perfect's business operating cadence, supporting the CEO and COO with key business rhythms including weekly operational meetings and trimesterly planning cyclesManage executive calendars and coordinate meeting logistics, including scheduling, room bookings, catering and follow-up actionsPrepare presentations, dashboards, reports and business documentation that support planning, decision-making and business performanceMaintain and continuously improve documentation for key business processes, ensuring information is accurate, accessible and up to dateSupport the coordination of business RFPs and tender submissions, ensuring documentation is completed accurately and deadlines are metProvide operational and administrative support across strategic business initiatives as requiredCoordinate leadership off-sites, planning sessions and company-wide meetingsSupport our executive leaders
Provide high-quality executive support to the COO and wider executive team as required, helping them operate effectively day to dayManage calendars, travel arrangements, meeting coordination and administrative prioritiesCoordinate executive expenses and travel logisticsRespond to ad hoc requests from senior leaders, proactively removing roadblocks and helping key priorities stay on trackOwn our travel and expense platform
Own and manage Education Perfect's travel and expense platform, ensuring it is well maintained, optimised and delivers a great employee experienceAct as the primary point of contact for all travel-related queries, managing the SaaS support channel, troubleshooting issues and escalating complex matters where requiredSupport employees with travel bookings, travel policies and onboarding and offboarding within the platformBuild a strong partnership with our SaaS account manager, managing vendor relationships, contract renewals, platform updates and ongoing service reviewsMonitor travel spend, platform adoption and usage trends, providing insights and recommendations to improve efficiency and support budget managementCreate exceptional workplace experiences
Act as the primary point of contact for our Dunedin office, ensuring it is welcoming, organised and running smoothly for employees and visitorsCoordinate workplace operations across our global offices in partnership with local site coordinators, ensuring a consistent and positive employee experienceManage workplace vendors, office providers, lease renewals, workplace budgets and office relocations or fit-out projects where requiredCoordinate day-to-day workplace operations, including office access, room bookings, facilities maintenance and workplace amenitiesAct as the go-to person for workplace questions, feedback and office improvements, continually enhancing the employee experienceSupport employee onboarding and offboarding by coordinating workplace access, office passes and workplace assetsBuild strong relationships with building management, cleaners, maintenance providers, couriers, tenants and workplace vendors to ensure our offices operate smoothlyManage the Dunedin office budget and approve office invoices, ensuring costs are tracked and managed effectivelyCoordinate office catering, team lunches, workplace celebrations and all-staff food provisions for meetings and eventsMaintain a safe working environment by coordinating workplace health and safety activities, office inspections and acting as Fire Warden and evacuation coordinator for the Dunedin officeAbout youYou'll be someone who thrives in a role where every day is different and enjoys bringing structure, organisation and calm to a busy environment.
