• Validate pay rates and reconcile billable resources to ensure accuracy before customer invoicing • Coordinate HR onboarding processes and provide payroll administration support • Oversee timesheet management and invoice reconciliation tied to customer contracts • Serve as first-line troubleshooter for administrative issues and employee-facing communications • Develop operational policies and procedures using AI tools to support business scaling initiatives
Requirements
Demonstrated availability to work within the Pacific Standard Time (PST) zone. 1–2 years of professional experience in administrative, payroll, HR, or billing roles. Prior documented remote work experience. Proficiency in managing billable hours, timesheets, invoices, and reconciliation processes. Ability to support key HR functions including employee onboarding, benefits coordination, and hiring administration. Working knowledge of ADP payroll systems, including processing tax forms and tracking employee benefits. Ability to coordinate effectively with external accounting firms for payroll and invoice reconciliation. Understanding of California and federal labor law compliance requirements. Strong record-keeping skills related to customer billing and supplier rate tracking. Daily proficiency with Microsoft and cloud-based productivity tools. Strong ability to learn and apply compliance requirements quickly using AI tools and internal reference resources. High school diploma or equivalent educational certification. Comfortable using generative AI tools to draft administrative documentation. Benefits
