Job summary

As a Medical Secretary within our GP practice, you will provide essential administrative and secretarial support to the clinical team. Your responsibilities will include managing referrals, processing insurance and medical forms, handling patient correspondence, and ensuring the smooth day-to-day operation of our administrative processes. You will also act as a key point of contact for patients, hospitals, and community services.

Main duties of the job

Providing high-quality secretarial and administrative support to Partners, Operations Team, and the clinical team. Managing clinicians letters, tasks, and referrals, and ensuring these meet our standards for accuracy and timeliness. Handling communications on behalf of clinicians, including EMIS tasks, Docman workflow, and eRS. Supporting patients by managing queries linked to referrals, forms, and follow-up admin. Preparing medical summaries, processing solicitor requests, and ensuring GDPR-compliant handling of records. Maintaining up-to-date knowledge of changes in referral pathways and Practice procedures. Following confidentiality, information governance, and Health & Safety requirements at all times. Escalating any compliments or concerns to the appropriate manager. Supporting emergency and security procedures where relevant.

Job description Job responsibilities

Prepare, process, and monitor referrals to hospitals, specialists, and community services with accuracy and attention to detail. Work closely with Clinicians / GPs and patients to obtain all required information and documentation to support referrals. Liaise with external providers to confirm appointments and ensure referrals are completed in a timely manner. Complete and submit medical and insurance-related forms, including prior authorisations, claim forms, and supporting medical documents. Communicate with insurance companies to obtain necessary approvals, resolve queries, and clarify requirements. Track the progress of submitted forms and keep both patients and clinicians informed of any updates. Handle telephone calls professionallyresponding to queries, taking messages, and ensuring prompt communication. Maintain accurate and up-to-date patient records using the clinical system (e.g., EMIS). Provide general administrative support, including booking appointments, managing correspondence, and maintaining electronic filing systems.

Person Specification

What we're looking for Essential

Strong organisational skills and the ability to prioritise competing tasks. Good communication skills, both written and verbal. Attention to detail and a commitment to accuracy in all work. Ability to work collaboratively as part of the wider admin team. Willingness to build confidence in EMIS, Docman and eRS (training will be provided).
