Description

We are looking for a highly organized and reliable Administrative Support professional to join our team in Italy. This role is essential in ensuring the smooth day-to-day running of the office by providing comprehensive administrative assistance across multiple functions.

The ideal candidate will have at least 5 years of experience, strong multitasking abilities, and fluency in both Italian and English.

Provide general administrative support to the office and management teamManage calendar scheduling, meeting coordination, and travel arrangementsHandle correspondence (emails, phone calls, letters) in Italian and EnglishMaintain and organize documents, records, and filing systems (physical and digital)Support office operations including supplies, vendors, and facility coordinationAssist with invoicing, expense tracking, and basic financial administrationPrepare reports, presentations, and internal communicationsCoordinate with internal departments and external stakeholdersEnsure compliance with company policies and local administrative procedures

Qualifications

Minimum 5 years of experience in administrative or office support rolesFluency in Italian and English (written and spoken)Strong organizational and time-management skillsExcellent attention to detail and problem-solving abilitiesProficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)Ability to manage multiple priorities in a fast-paced environmentStrong interpersonal and communication skillsHigh level of discretion and professionalism Preferred Qualifications (Nice to Have)

Experience in an international or multicultural environmentKnowledge of basic accounting and administrative processesFamiliarity with office management tools and systems
