Project Assistant
Xzibit designs and builds Expo Stands, Museums, Galleries, and Experience centres Australia-wide. We're replacing our core operating systems, and we're hiring a Project Assistant to keep that project running smoothly day to day.
What a typical week looks like
You'll sit at the centre of a small project team.
Monday might be updating the project plan and chasing three overdue actions before the weekly check-in; Tuesday, taking notes in a workshop. Through the week you're booking sessions with the software developer and internal team, keeping the decision log current, tidying up requirements documents, and drafting updates to leadership on Friday. When testing and training ramp up, you're the one making sure the right people are in the right room with what they need. It's varied, detail-driven work where being organised is the job.

What you'll be doing
• Keep the project plan, milestone tracker, and risk register up to date
• Document meeting actions and maintain project records - decision logs, requirements documents, and files
• Coordinate scheduling and communications across internal teams, the software developer, and key stakeholders
• Chase actions and follow-ups so nothing stalls between meetings
• Help teams adapt from how they work today and to how they will move forward with the new system
• Help organise testing and training activities as the project moves towards go-live
• Draft progress updates for the Project Lead to review and share
What you'll bring
Must have
• Strong organisation skills - competing priorities, tidy records, deadlines met without being chased
• Clear written and verbal communication, comfortable with people at every level
• Confident with everyday office tools and quick to pick up new systems
• Reliable follow-through and the ability to work independently in a small team
Nice to have
• Experience supporting a project or a busy team, in any industry
• Exposure to business systems or technology projects
• Familiarity with AI tools or process automation
No ERP experience needed — we'll teach you everything about the project and the systems involved.
