A leading full-service commercial landscaping company, dedicated to client satisfaction, sustainability, and team growth, is seeking a skilled and reliable Talent & Culture Virtual Assistant.
As a Talent & Culture Virtual Assistant, you will provide remote administrative support to the Talent & Culture team, handling tasks such as candidate screening, interview coordination, and offer administration. You will help ensure a smooth and positive candidate experience while enabling the team to focus on strategic talent initiatives. The ideal candidate communicates clearly, works independently, and stays organized in a fast-paced environment.
Responsibilities:Recruitment & Hiring Support
Screen applications and resumes for non-exempt positions against established criteriaConduct initial phone screens with candidates to assess basic qualifications and role matchCoordinate interview scheduling between candidates, hiring managers, and interview teamsPrepare and send interview confirmation emails with relevant details and logisticsMaintain candidate tracking and update applicant status in recruitment systemsPrepare and distribute offer letters for non-exempt positions under supervision of Talent & Culture SpecialistFollow up with candidates regarding application status and next stepsManage recruitment communication through designated communication channels
Recruitment Documentation & Coordination
Maintain organized candidate files and recruitment documentationTrack recruitment metrics and hiring pipeline progress for non-exempt rolesUpdate job postings across various platforms as directedCoordinate background check and reference check processesEnsure compliance documentation is complete for all new hires
Talent & Culture Team Communication
Maintain professional and timely communication with candidates throughout hiring processCoordinate with hiring managers on candidate feedback and hiring decisionsProvide regular recruitment updates to Talent & Culture team and hiring managersRespond to candidate inquiries professionally and promptlySupport internal communication regarding talent initiatives
Talent & Culture Operations Support
Assist with Talent & Culture projects and initiatives as assignedSupport employee engagement activities and program coordinationMaintain Talent & Culture department files and documentation systemsHelp track and report on recruitment and retention metricsAssist with compliance documentation and record-keepingProvide administrative support for team meetings and training sessions
Additional Support
Perform other Talent & Culture support duties as assigned by Talent & Culture Specialist and/or Director of Talent & CultureBackup support for critical recruitment operations when neededSupport special projects related to organizational culture and talent developmentRequirements
Recruitment experience is requiredBackground in administrative, HR, or operations support is idealFluent in English and Spanish (written and verbal)Proficient in Google WorkspaceStrong communication and organizational skillsAble to work independently in a remote setupStrong problem-solving skills and attention to detailReliable internet connection and a dedicated workspace
