Job Summary: The Junior Bookkeeper and Payroll Assistant is a key player within the administration and finance department at Clements Centre Society. This position supports data entry functions, entering payroll-related information, accounts payable and accounts receivable-related documentation, and maintaining electronic and paper filing systems. This position reports to the Chief Financial Officer.
Key Duties and Responsibilities
Finance Support
• Codes source documents such as invoices and receipts to the appropriate accounts.
• Maintains and updates accounting records by performing duties such as recording and posting transactions in journals and the general ledger for accounts payable, accounts receivable and payroll.
• Maintains petty cash fund, receipt funds via electronic debit and credit, and purchase orders.
• Updates a variety of Excel workbooks to reflect financial transactions.
• Receives appropriately coded documentation from senior finance staff and enters invoices in [Sage 300] accounting software integrated with automated platforms.
• Sorts, enters, and files documentation related to accounts payable and accounts receivable.
Payroll Support
• Assists Payroll department with summarizing payroll information and filing employee documentation.
• Assists with the preparation of necessary reports to generate third party remittances, such as E.I., C.P.P. and WSBC.
• Support IT Manager with inventory and addressing employees’ IT needs
• Performs other related duties as required, including coverage as needed for reception desk and other administrative staff of comparable responsibilities.
Education, Training and Experience
• Grade 12, plus post secondary courses of up to two (2) years in areas such as bookkeeping, payroll or office procedures.
• Minimum of 2 years’ experience in similar roles, preferably within the non-profit sector.
• Demonstrated knowledge of Microsoft Office products (Outlook, Excel, Word, Teams) and accounting software (e.g. Sage 300). Experience with Bena Works and Sharevision would be an asset.
• Familiar with virtual file management, shared drives, and data-based management.
• Basic knowledge of diverse hardware/software setup.

• This is a union position
• This is a 21–28-hour position; regularly 8:30 – 16:00 with a 30-minute unpaid lunch break
• Compensation for this potion aligns with Grid Level 10
