The position works closely with physicians, administrative leadership, and support staff to optimize clinic utilization, improve access, and address urgent scheduling needs, serving as a key operational link between clinical demand and available capacity</span></p> <p> </p> <p><span style="font-family:arial, helvetica, sans-serif;color:black"><strong>JOB DUTIES AND RESPONSIBILITIES</strong></span></p> <ul> <li style="font-family:arial, helvetica, sans-serif;color:black"><span style="font-family:arial, helvetica, sans-serif;color:black">Building, maintaining, and auditing QGenda schedules for physicians and APPs across multiple clinical locations. </span></li> <li style="font-family:arial, helvetica, sans-serif;color:black"><span style="font-family:arial, helvetica, sans-serif;color:black">Maintaining provider templates to ensure accurate availability, appropriate session structure, site-specific scheduling logic, and usable clinical capacity.</span></li> <li style="font-family:arial, helvetica, sans-serif;color:black"><span style="font-family:arial, helvetica, sans-serif;color:black">Assisting with the coordination of consult, call, inpatient service, and coverage schedules.</span></li> <li style="font-family:arial, helvetica, sans-serif;color:black"><span style="font-family:arial, helvetica, sans-serif;color:black">Managing provider schedule changes, PTO/CME impacts, urgent coverage needs, backfill opportunities, program development, and template changes.</span></li> <li style="font-family:arial, helvetica, sans-serif;color:black"><span style="font-family:arial, helvetica, sans-serif;color:black">Monitoring access gaps and escalating capacity concerns to administrative and clinical leadership.</span></li> <li style="font-family:arial, helvetica, sans-serif;color:black"><span style="font-family:arial, helvetica, sans-serif;color:black">Partnering with scheduling teams to ensure available capacity is visible, accurate, and appropriately used.</span></li> <li style="font-family:arial, helvetica, sans-serif;color:black"><span style="font-family:arial, helvetica, sans-serif;color:black">Supporting onboarding of new physicians and APPs by coordinating clinical templates, session assignments, schedule build needs, and operational readiness.</span></li> <li style="font-family:arial, helvetica, sans-serif;color:black"><span style="font-family:arial, helvetica, sans-serif;color:black">Troubleshooting template misalignment, incorrect availability, blocked sessions, and other scheduling issues that directly affect patient access.</span></li> <li style="font-family:arial, helvetica, sans-serif;color:black"><span style="font-family:arial, helvetica, sans-serif;color:black">Supporting expansion into new locations by aligning clinical coverage, templates, scheduling workflows, and operational go-live needs.</span></li> <li style="font-family:arial, helvetica, sans-serif;color:black"><span style="font-family:arial, helvetica, sans-serif;color:black">Performing reporting and audits related to clinic utilization, room utilization, schedule availability, and patient access.</span></li> <li style="list-style-type:none;font-family:arial, helvetica, sans-serif;color:black"> <div> </div> </li> </ul> <p> </p> <p><span style="font-family:arial, helvetica, sans-serif;color:black"><strong>JOB ELIGIBILITY REQUIREMENTS</strong></span></p> <ul> <li style="font-family:arial, helvetica, sans-serif;color:black"> <p><span style="font-family:arial, helvetica, sans-serif;color:black">Work requires a general business background generally equivalent to a bachelor's degree in a business related field.</span></p> </li> <li style="font-family:arial, helvetica, sans-serif;color:black"> <p><span style="font-family:arial, helvetica, sans-serif;color:black">Work requires 2 years related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities.</span></p> </li> <li style="font-family:arial, helvetica, sans-serif;color:black"> <p><span style="font-family:arial, helvetica, sans-serif;color:black">A master's degree in a business related field may be substituted for 2 years experience.</span></p> </li> <li style="font-family:arial, helvetica, sans-serif;color:black"> <p><span style="font-family:arial, helvetica, sans-serif;color:black">OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.</span></p> </li> <li style="font-family:arial, helvetica, sans-serif;color:black"><span style="font-family:arial, helvetica, sans-serif;color:black">The Clinical Scheduling Coordinator requires strong knowledge of clinical operations, scheduling workflows, and patient access management within a multi-site healthcare environment. This role demands proficiency with scheduling systems such as QGenda, along with the ability to manage and audit complex provider templates and coordinate consult and call schedules. The position requires excellent organizational, analytical, and problem-solving skills to assess scheduling impacts, resolve conflicts, and optimize clinic utilization. Strong communication and collaboration skills are essential to effectively partner with physicians, administrative leadership, and support staff, while maintaining a high level of professionalism in managing escalations.
