A fast-growing, founder-led international business operating across multiple functions and markets. The executive you’ll support requires a highly autonomous partner who can think strategically, act decisively, and represent them with confidence in day-to-day operations.
Scope of the Role:
This is not a traditional Executive Assistant role. This position sits between Executive Assistant and Chief of Staff, designed for someone who can manage complexity, take ownership, and act on behalf of the executive when needed.
You will be trusted to represent the executive in meetings, make informed decisions within defined parameters, and keep the business moving forward without constant oversight. You are expected to operate with discretion, judgement, and a strong sense of accountability.
Responsibilities:
Act as a strategic partner to the executive, managing priorities, workflows, and execution across the businessRepresent the executive in internal and external meetings, documenting outcomes and making decisions when authorisedAct on behalf of the executive in communications, follow-ups, and coordination with stakeholdersOwn calendar management, inbox triage, travel coordination, and meeting preparation at an executive levelDrive execution on projects, ensuring deadlines are met and blockers are resolved proactivelyPrepare briefs, summaries, presentations, and decision documentsCoordinate across teams (Operations, Marketing, Finance, HR, etc.) to ensure alignmentAnticipate needs, flag risks, and propose solutions before issues escalateMaintain strict confidentiality and exercise sound judgment at all times
Requirements:
5+ years of experience as an Executive Assistant, Senior EA, Operations Manager, or Chief of Staff–type roleProven experience representing an executive and making decisions on their behalfExceptional written and verbal communication skills in EnglishStrong business judgement and ability to operate with minimal supervisionExperience working with founders, C-level executives, or high-growth companiesHigh level of organisation, prioritisation, and follow-throughComfortable managing ambiguity and shifting prioritiesBased in South America with reliable availability aligned to US time zonesTech-savvy and comfortable with tools like Google Workspace, Slack, Notion, Asana, ClickUp, or similar
