Amazon Prime Video is seeking an enthusiastic and proactive Executive Assistant to support a set of three leaders within the APAC leadership. This role will engage in activities to increase capacity and effectiveness of the leader & leaders' direct reports and contribute to the overall department efficiency Key job responsibilities Key job responsibilities: Manage complex executive calendars across multiple time zones, optimizing leaders' time through strategic scheduling and planning meetings like staff meetings, annual business planning / reviews. Coordinate comprehensive domestic and international travel including flights, accommodations, ground transportation, and detailed itineraries Manages expenses/spending and filling reimbursement requests Maintains organisation charts and internal email aliases Schedules and coordinates special events and meetings as needed (company event, off sites, lunch/ dinner engagements/ business reviews/townhalls etc). Managing Senior Executive schedules (during their visit to India and other APAC locales) and creating detailed travel itineraries Supports leader’s direct reports with administrative work Project planning and logistics co-ordination for learning and development activities, fire-side chats, etc Records minutes of important meetings, track and follow up on action items and deliverables Handle confidential information and time-sensitive matters with discretion A day in the life The Role in One Line: Keep three leaders focused on decisions, not logistics — across four countries (especially for the APAC leaders), three time zones, and a constantly shifting calendar. Morning — Triage & Time Zone Management Resolve overnight calendar conflicts across IST/JST/AEST Confirm travel logistics and itinerary changes Process expenses and reimbursements Mid-Day — Operational Rhythm Staff meeting support: agenda, minutes, action item tracking Coordinate cross-functional meetings for leaders' direct reports Maintain org charts, aliases, and distribution lists Afternoon — Strategic Coordination Plan offsites, townhalls, and senior executive visits Manage confidential org changes and time-sensitive escalations L&D logistics: fireside chats, learning sessions, speaker coordination End of Day — Set Up Tomorrow Brief all 3 leaders on next-day priorities Confirm early-morning meetings for AU/JP (their start of day) Flag open action items and pending approvals
