Key Responsibilities
* Greet clients and provide exceptional customer service * Answer phone calls, emails, and online inquiries * Schedule and manage appointments using clinic software * Process payments and maintain accurate client records * Verify and submit insurance information when required * Coordinate practitioner schedules and treatment rooms * Maintain a clean, organized, and welcoming reception area * Assist with administrative tasks and daily clinic operations * Support clinic marketing initiatives and community outreach activities * Plan and maintain a monthly Instagram content calendar * Coordinate and schedule Instagram posts, stories, and reels * Collaborate with practitioners to create educational and promotional social media content * Assist with creating simple graphics, newsletters, and marketing materials using Canva or similar platforms * Monitor social media engagement and direct inquiries to the appropriate team members * Help maintain a consistent and professional clinic brand across all communications
Qualifications
* Previous reception, administrative, or customer service experience preferred * Experience in a healthcare setting is considered an asset * Experience using JaneApp * Excellent communication and interpersonal skills * Strong organizational and multitasking abilities * Proficiency with computers, email, and scheduling software * Experience with Instagram, Facebook, Canva, or other social media platforms is considered an asset * Strong written communication skills with attention to detail * Ability to work independently and as part of a collaborative team * Professional, positive, and compassionate demeanor * Strong problem-solving skills and attention to detail
