About this role

JOB OVERVIEW Responsible for ensuring the effective lifecycle management of all IT hardware and software assets across the organisation. This role oversees asset governance, compliance, procurement coordination, inventory accuracy, and optimisation of asset utilisation to reduce risk and maximise value. The position required strong analytical skills, operational discipline, and the ability to collaborate with cross-functional stakeholders including Procurement, Finance, Security and Operations.

JOB DESCRIPTION Key Responsibilities: A. IT Asset Lifecycle Management

• Maintain end-to-end visibility of hardware and software assets from acquisition to disposal

• Ensure timely provisioning, tagging, deployment, transfer, and retirement of assets

• Monitor asset refresh cycles, warranties, service contracts, and renewals

B. IT Asset Inventory

• Maintain a centralised and accurate IT Asset Register / CMDB

• Conduct routine inventory audits and reconciliation with system records.

• Implement controls to minimise asset discrepancies, losses, and unauthorised usage

C. Software License Management

• Monitor and manage software license utilisation, entitlements, renewals, and contract terms.

• Ensure full compliance with vendor licensing requirements and internal governance policies.

• Enforce software standards by ensuring only authorized and properly licensed applications are installed on all devices.

• Support internal, external, and vendor-led software license audits with accurate and timely documentation.

D. Governance, Compliance & Reporting

• Establish and enforce ITAM standards, policies, and procedures

• Generate periodic compliance, utilisation, and cost optimisation reports for management

• Support risk mitigation efforts related to asset security and regulatory compliance.

E. Procurement

• Liaise with Procurement and vendors for purchasing, renewals, warranties, maintenance, and support contracts.

• Review quotations, product specifications, and contract terms to ensure alignment with standards.

• Track delivery timelines and vendor performance

• Coordinate and prepare supporting documentation for payments, including utilization tracking, invoice verification, and budget forecast monitoring.

F. Reporting & Documentation

• Generate reports on endpoint inventory, patch compliance, vulnerabilities, and authorized software.

• Provide reports for management and audit purposes.

• Maintain updated policies, procedures, and operational documentation

G. Vendor Management

• Manage platform subscription renewals

• Lead biannual preventive maintenance and vendor performance evaluation.

• Coordinate monthly/quarterly vendor service review reports

H. Operational Support

• Contribute to annual budget planning for IT hardware and software.

• Work closely with IT Support teams from the hospitals and companies.

• Participate in 24x7 on-call rotation and provide after-hours support when required.

• Perform any ad-hoc tasks related to reporting, administration, or project activities as assigned.

• Assist with other operational needs as required.

Job Requirements Education

• Bachelor’s Degree in IT, Computer Science, Information Systems, or related field

Knowledge and Experience

• 3–6 years of experience in IT Asset Management, Inventory Governance, or IT Operations

• Strong knowledge of IT hardware, software licensing, lifecycle planning, and CMDB/ITAM platforms.

• Proficiency ITAM tools (e.g. Ivanti, Intune, ManageEngine, ServiceNow, SCCM, Lansweeper).

• Strong analytical, problem-solving, and reporting skills.

• Experience coordinating with vendor, service providers, or supporting maintenance and operational reviews.

Skills & Competencies

• Proven experience managing and optimising enterprise-level IT Asset Management platforms.

• Strong background supporting large-scale, multi-site IT environments with high operational complexity.

• Solid understanding of ITIL principles, especially Asset Management, Configuration Management, Change Management, and Incident/Request Fulfilment.

• Good knowledge of Windows Operating Systems for servers and end-user devices, supporting accurate asset tracking and lifecycle management.

• Understanding of endpoint security controls, compliance monitoring, and vulnerability related governance.

• Familiarity with directory services and identity management, including Microsoft Active Directory and Group Policy.

• Strong troubleshooting, documentation, and communication skills, with the ability to engage both technical and non-technical stakeholders.

• Attention to details by ensuring that IT Asset is accurately logged, categorized, and documented.

• Team collaboration by working closely with other team members, including escalation teams.
