Specialist Facilities1Travel Logistics & Management-
• Itinerary Planning: Arrange flights, trains, hotel accommodations, and ground transportation based on employee needs and schedules. • Documentation: Manage passport/visa processing, travel insurance, and foreign exchange (forex) for international travel. • Policy Compliance: Ensure all bookings adhere to organizational travel guidelines, budgets, and approval workflows. • Emergency Support: Handle sudden itinerary changes, cancellations, and disruptions efficiently to ensure traveler safety and comfort. Vendor & Expense Management-
• Vendor Negotiation: Source travel service providers (hotels, airlines, cab aggregators) and negotiate corporate rates or annual contracts. • Billing & Reconciliation: Track travel expenses, process travel bills, and reconcile invoices with the finance department. • Reporting: Maintain Management Information System (MIS) reports to track travel utilization, vendor performance, and cost-saving metrics
Corporate & Event Coordination
• Corporate Events: Assist in organizing leadership offsites, conferences, and corporate dinners by coordinating venues and hospitality. • Stakeholder Updates: Communicate regularly with travelers, to keep them informed about logistics and policy updates
