About this role
We are seeking a highly experienced and polished Executive Assistant to provide proactive and strategic administrative support to the Vice President of Acceptance Solutions. This role requires exceptional organizational and communication skills, strong judgment, and the ability to operate effectively in a fast-paced, dynamic, and confidential environment.
As a trusted partner to the VP and leadership team, you will manage day-to-day operations, coordinate across multiple stakeholders, and anticipate needs to ensure the organization runs smoothly.
What you'll do:
Calendar ManagementProvide strategic calendar and time management support with strict integrity and confidentiality.Manage and own the SVP’s calendar, meeting preparation, and logistics based on knowledge of leader and business needs.Use executive judgment to make decisions around prioritization.Travel ManagementCoordinate domestic and international travel, creating detailed itineraries to maximize productivity and ensure compliance with travel policies.Executive and Team SupportAct as a trusted liaison, problem solver, and facilitator for the SVP and the Acceptance Solutions Product Development organization.Establish and maintain effective, cooperative professional relationships with all levels of management, employees, and external contacts.Provide support for site management and senior leadership activities, including space management, employee onboarding, and onsite logistics.Perform team support duties such as ordering office supplies, booking meeting rooms, processing training registrations, and updating distribution lists.Help plan onsite and offsite team meetings and events, including coordinating conference room setup, catering, A/V, and other logistical arrangements.Coordinate onboarding of new employees and contractors, including tracking and workspace setup.Project and Document SupportAssist with developing and updating PowerPoint presentations, Excel spreadsheets, and other charts and documents in support of team activities.Provide support for miscellaneous projects and initiatives as needed.Create purchase requisitions and assist staff with expense reporting and finance-related issues.Manage and maintain budget and expense reports.This is a hybrid position. Expectation of days in the office will be confirmed by your Hiring Manager.

Basic Qualifications:
Minimum of 6 months of work experience or a Bachelor's DegreePreferred Qualifications:
2 or more years of work experience2-4 years of administrative experience, with some event planning and/or project coordinationexperienceCustomer service-focused, with a professional presence and a confident and approachable personalityExperience supporting Senior Vice Presidents overseeing organizations with 1,000+ direct and indirect reports.Capable of working with discretion and tact in an environment exposed to a high level of sensitive and confidential informationStrong communication skills (both written and verbal), and ability to operate effectively and efficiently in a challenging, fast-paced environmentSkilled in Microsoft Outlook, Word, Excel, PowerPoint, and SharePointProficiency in managing calendars and organizing travel helpfulExperience creating and/or supporting presentation development for senior managementAbility to multi-task, assist multiple team members at the same time, and prioritize work effectivelyDetail-oriented and able to complete work assignments with a high degree of qualityDemonstrated initiative, flexible, highly organized and can anticipate and resolve problems beforethey escalateHistory of creative problem-solving, ability to work well collaboratively and under pressurePositive and energetic personality that can help inject some fun into the focused, determined, software development teams onsite Work Hours: Varies upon the needs of the department.
Travel Requirements: This position requires travel 5-10% of the time.
Mental/Physical Requirements: This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 66,200.00 to 93,750.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.
