Job Description We are seeking an experienced Senior IT Product Delivery Assistant to do end-to-end administrative and coordination support to the Product Delivery Team, ensuring smooth execution of the bank-wide rollout and the New Intranet. This position will be full-time and hybrid at Mandaluyong City. What You'll Do
• Responsible for the overall coordination efforts of the Product Delivery Team, providing end-to-end support in administrative functions, logistical arrangements, and coordination of events and related activities for bank-wide implementation of DigiKM2 and New Intranet
• Provide administrative and clerical support to the Product Delivery team
• Manage user access and permissions for the product’s SharePoint sites and shared mailbox, ensuring appropriate controls and timely updates
• Respond to requests for product-related information and data, coordinating with relevant team members for clearance
• Draft official memos, formal communications, and other documentation as required by the product delivery team
• Assist in the preparation of general reports, meeting minutes and correspondence
• Coordinate with vendors to facilitate account setup and provisioning of equipment (e.g., laptops, test accounts) for product delivery activities
• Assist in the filing of myAccess and AskIT tickets
• Coordinate travel arrangements, accommodations, and reimbursement processes for vendor and consultants
• Liaise with departmental focals and content owners to organize and schedule meetings and workshops in support of the bank-wide rollout of the product
• Coordinate meetings and appointments (schedule, agenda, invites, materials and logistics, equipment, etc.)
• Attend meetings, take attendance, assist in taking down meeting notes, preparation of minutes and follow up action items
• Coordinate product delivery activities, workshops, and other events (e.g., schedule, agenda, invites, banners/directionals, food, materials, logistics, equipment, registration, etc.). Assist in on-the-day event coordination and facilitation as required
• Coordinate the production/compilation of documents and information materials required during meetings and events (e.g., handouts, references, program, registration sheets, name plates, presentation files, etc.)
• Ensure service maintenance is promptly available as would be required for all equipment/services and facilities in and around the meeting/event rooms
• May be assigned to lead Associate IT Product Delivery Assistants for large and complex products, and mentor and coach newly on-boarded IT Product Delivery Assistants
• Other duties that may be assigned as reflected in the incumbent’s work plan
What You'll Need Required:
• At least 7 years of administrative experience, preferably in a multi-cultural/product delivery environment
• Computer proficiency in a Windows environment using MS Office (Excel, Word, PowerPoint) and SharePoint
• Good communications skills – written, verbal and presentation
• Good organizational skills
• High level administration and report writing
• Highly organized with the ability to prioritize workload and adjust to the needs of the service
• Good interpersonal skills and ability to work as part of a team
• Ability to communicate effectively at several different levels and methods
• Ability to work in a self-directed, fast-moving, results-oriented environment
• Ability to coach peers or subordinates how work should be done effectively and efficiently
• Displays proficiency using office applications (Microsoft 365)
