Job summary
We are looking for an experienced GP Surgery Receptionist to join our friendly team at a rapidly growing GP practice. Previous experience working in a GP surgery is essential, along with proficiency in EMIS Web and other NHS systems.
The role initially offers 18 hours per week, with shifts scheduled between 7:45am and 6:30pm, Monday to Friday. Working days and shift patterns may vary from week to week. Additional hours may also be required to cover annual leave and sickness, so flexibility is essential.

Main duties include greeting and assisting patients, answering telephone enquiries, booking and managing appointments, processing prescriptions, handling patient records and correspondence, and providing administrative support to the clinical team. The role also involves using EMIS Web and other NHS systems accurately, maintaining confidentiality, and ensuring patients receive a professional and friendly service at all times.

As a Receptionist within the practice, you will play a vital role in ensuring patients receive a professional, efficient, and welcoming service. You will support both clinical and administrative functions across the practice and contribute to the smooth day-to-day running of the surgery. Duties may vary in line with the needs of the service and the wider practice team.
Key Duties Provide a friendly and professional first point of contact for patients, visitors, and external organisations.
Manage appointment bookings, cancellations, and amendments using the practice clinical system.
Handle patient enquiries in person, over the telephone, and electronically, ensuring all queries are dealt with promptly and appropriately. Maintain accurate and up-to-date patient records in line with NHS and practice procedures.
Process patient registrations, temporary registrations, and updates to patient demographics.
Scan, file, and manage clinical correspondence and patient documentation within electronic records.
Support clinicians and the wider team with a range of administrative and operational tasks.
Process incoming and outgoing correspondence, including emails, forms, and requests for information.
Escalate safeguarding, urgent, or complex issues in accordance with practice policies and procedures.
Assist with repeat prescription administration and other routine practice workflows. Promote confidentiality and ensure compliance with GDPR, NHS guidance, and practice policies at all times.
Help maintain a safe, organised, and efficient reception and administrative environment.
Work collaboratively with colleagues to support effective service delivery and continuity of care.
Participate in mandatory training, practice meetings, appraisals, and ongoing professional development activities.
Provide cover for colleagues during periods of annual leave or sickness where required. The successful candidate will be expected to demonstrate flexibility, strong communication skills, attention to detail, and the ability to work effectively within a busy GP practice environment.

Qualifications Essential
Previous experience working as a Receptionist or Administrator within a GP surgery or NHS healthcare setting is essential. Proficient in using EMIS Web and other NHS clinical systems. Experience managing appointments, patient enquiries, and administrative tasks within a busy general practice environment. Excellent communication and customer service skills, with the ability to deal with patients professionally and sensitively. Strong organisational skills with the ability to prioritise workload and work effectively under pressure. Good understanding of patient confidentiality, GDPR, and NHS data protection requirements. Confident using Microsoft Office and general IT systems. Ability to work both independently and as part of a team. Flexible and reliable approach to work, including providing additional cover when required. Professional, approachable, and compassionate manner with a commitment to delivering high standards of patient care and service.
