Key Responsibilities
The following are the core responsibilities of the Administration Assistant in delivering health services. There may be occasions when a requirement to carry out other tasks arises. This will be dependent upon factors such as workload and staffing levels:
Accurately clinically code data into the patient record on the clinical system through Docman or via newly registered patient records.Identifying relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed action. To then assess and forward to appropriate clinicians for their attention to enable them to action accordingly.Inputting and extracting data as required to support practice reports, audits and to capitalise upon both patient safety and QOF incomeScanning patient related documentation and attaching scanned documents to patients healthcare records
Highlight all timely actions, changes to patient care and management to the relevant clinicianFile and store records as requiredPhotocopy documentation as requiredAction all incoming correspondence, emails and mail in a timely mannerInput data into patients healthcare records as necessaryConduct system searches as requestedFollow and implement practice policies and procedures around prescribing.Review and manage an efficient repeat prescribing system using EMIS Web and EPSEnsure medication review systems are set up and up to dateAssist and encourage patients to order prescriptions through the NHS App.Maintain a clean, tidy, effective working area at all timesSupport all clinical staff with general administrative tasks as requested
Undertake a broad spectrum of administrative duties commensurate with the role Be an integral part of the general practice team Be aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on safeguarding adults and safeguarding children Undertake all mandatory training and induction programmes.
Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreed

In addition to the primary responsibilities, the Clinical Coder has the following wider responsibilities:
Act as the medical reports administrator deputy during their absences. (See separate medical reports administrator job description).Participate in local initiatives to enhance service delivery and patient careSupport and participate in shared learning
Person Specification
Qualifications Essential
A good standard of education with and expectation of having both GCSE Maths and English at Grade C (Level 4) or above, or Functional Skills Level 2 in Maths and English
