About this role

Job summary

We are looking for a Band 3 administrator to join our Specialist Pelvic Health Team. Hours: 22.5 hrs per week (Monday to Friday) Location: Longton Cottage Hospital, Stoke on Trent (Part hybrid working available once fully competent)

This role is integral to our service as you may be the first point of contact for service users by phone, navigating them through their appointment pathway and supporting the smooth and efficient running of the service.

At the time of advertising, this role does not meet the minimum requirements set by UK Visas and Immigration to sponsor candidates to work in the UK. For this reason, we are unable to sponsor anyone for a skilled worker visa for this role.

Main duties of the job

The successful candidates must have excellent computer skills with an eye for detail and accuracy. You will have access to patient records therefore compliance with our information governance policies and procedures is essential. Experience in the use of the RIO NHS clinical system is essential as this is used daily to facilitate the role.

You will need exceptional organisational skills and be committed to consistently delivering a high-quality service and be passionate about ensuring people who use our service receive good quality customer care.

This is a varied role where communication skills are key to all that we do as a large portion of this role is telephone based as well as face to face with our service users.

To respond to the initial request for support and information by phone and e-mail, from patients, carers, relatives, GP, PN, local government, commissioners, and the general public. Specialist Pelvic Health Team, Community Nurses, SN, SCN, HV, Community Hospital Staff, Community Mental Health teams, Social Care, AHP and the wider MPFT workforce

The post holder should be able to prioritise their own workload to ensure effectiveness and efficiency in delivering objectives whilst working with minimal supervision.

To provide a comprehensive administrative support service to the team and support the Office Manager with administrative duties including but not limited to:

Receiving and processing referral, sending out patient appointment letters, receiving phone calls from patients and the public, amending appointments, getting clinic documentation ready and processing documentation on return, safe handling of patient information, minute taking and the production and distribution of reports, consistent with Trust procedures and quality standards.

Supporting teams to collate quality assurance information including collating/uploading CQC evidence, supporting in the production of complaint reports.

To maintain and update all related filing systems, ensuring fully electronic storage & retrieval

Being proactive and able to demonstrate good organisational skills and excellent communication skills both in verbal and written correspondence.

To workflexibly to provide cover for colleagues in the event of absences.

Person Specification

Qualifications Essential

Good standard of general education including English and Maths at GCSE Grade C or equivalent or Functional skills (English and Maths) Level 2 RSA Stage III Word Processing / Text Processing or equivalent

Desirable

NVQ/ Level 3 Business administration

Experience Essential

Relevant experience in administration support role including dealing with telephone enquiries in a timely manner Experience of dealing with sensitive/distressing issues Previous experience of data input

Experience of using Rio

Skills, Knoweldge & Abilities Essential

Demonstrate the ability to prioritise workload in order to meet deadlines Demonstrate an understanding of the importance of effective team working Demonstrate an understanding of the importance of confidentiality Demonstrate a high level of communication skills, both written and verbal Excellent organisational skills and work on own initiative Standard keyboard skills Proficient in the use of Microsoft Office packages e.g. Word, Excel etc. Provide training/advice to other team members on use of computer packages
