Job Title: Clinical Rota & Capacity Coordinator

Contract: 1 Year Fixed term

Hours: Full time or part time hours available

Location: Harold Moody Health Centre, but the postholder may be required to work at any of Nexus locations.

Closing Date: 22 May 2026

Summary of role: We are looking for a skilled administrator/s with excellent attention to detail and ideally a good working knowledge of the EMIS appointment book to provide a key role within our at scale organisation. This role is critical in ensuring the correct capacity is available to our patients. You will be part of our existing clinical rota administrative team and will receive full induction and training.

Main duties of the job

The post-holder will:

PLANNING AND SCHEDULING:

Ensure the accurate and timely input of the Nexus appointment

book for all clinical teams including attached staff minimum of 6

weeks in advance at all time:

-adding block sessions, meetings, triage, in line with

cluster/site/Nexus wide requirements

MONITORING

Proactive day to day appointment book management and

monitoring for example:

-having an overview of the appointments numbers available

-identifying and escalating potential capacity issues to the cluster

leads

Be responsible for the approving and management of annual leave

of clinical teams in accordance with the annual leave policy

COORDINATION AND EFFECTIVE COMMUNICATION

appointments are clearly marked on the appointment book and

communicated to the relevant staff members (i.e. within the rota

team, cluster leads, access hub management) around capacity needs.

Nexus was formed in 2016 with the merging of a number of established local practices in north Southwark.We look after a practice population of 76,000 patients spread across our 9 sites. The overall aim of Nexus Health Group is to provide a clinically excellent service to our patients, recognising the needs of our local population and to provide a learning and developmental environment for our staff. Our clinical approach is based on a foundation of clinical excellence, clinical leadership and clinical governance. We are a well recognised training organisation.

Our 9 sites across north Southwark are geographically close and well served by local transport hubs at London Bridge, Elephant & Castle and Canada Water.We share a single patient list but our patients are attached to a specific site and are looked after by local multidisciplinary teams which include GPs, Nurses, Physicians Associates, Paramedics, ANPs and Pharmacists. These site based teams are supported by Managers and administration staff, as well as centralised HR, IT, Clinical Administration and the Senior Management Team.

All our sites function as traditional practices with a Site Manager and GP partners working in the practice. All sites are involved in GP training and increasingly training the wider AHP team such as nurses and PAs. Nexus works closely with the local PCN with 2 partners as Clinical Directors.

Job description Job responsibilities

COORDINATION AND EFFECTIVE COMMUNICATION

Ensure annual leave and triage cover and any changes that might affect

appointments are clearly marked on the appointment book and

communicated to the relevant staff members (i.e. within the rota

team, cluster leads, access hub management)

Be responsible for co-ordinating appointment book and clinical

provision for access hub and liaise with administrative staff and leads

around capacity needs.

Liaise with Site Managers and front desk teams over appropriate

appointment book usage

Registrar and other trainee timetables management to ensure timely

changes in accordance to the standard registrar appointment

schedules

Coordinate timetable tutorials for registrars, PAs, Paramedics and

allied health professionals when required

CPDs coordination to factor in capacity and appointments numbers

LOCUM BOOKING

Plan with the Cluster Clinical Governance lead to ensure adequate

access provision to minimise locum usage

Where necessary agree and arrange locum cover

Monitor and track locum usage as per Nexus Financial Control policy

DATA MANAGEMENT

Liaise with the data team to provide monthly demand and capacity

access reports for the Nexus Monthly Assurance Dashboard

To monitor DNAs and work with Operational Teams and Patient

Engagement teams to reduce and minimize DNAs

OTHER

To be the cluster lead for access and rota implications for service

development and any centralising of services

To liaise with Target leads over capacity required for target work,

chronic disease management, screening and immunisation work and

ensure proactive management of clinical capacity to help meet

targets

To work with patient engagement leads on optimising the patient

experience around access.

To work with the Nexus IT team and digital leads around developing

and extending digital access for our patients and a digital first

approach where appropriate.

To work with the Nexus IT team and digital leads in developing

appropriate priority access for vulnerable patients.

Person Specification

Qualifications Essential

Minimum 3 GCSE grade A-C, Or equivalent, to include English Language, or relevant experience. Working knowledge of primary care and appointment systems Effective organisational skills within a primary care environment Proven interpersonal skills and the ability to effectively negotiate Working knowledge of the EMIS appointment book IT Proficient

Desirable

Communication and relationship skills Self-motivated and pro- active team player with good interpersonal skills.
