Job summary

We are seeking two full-time motivated and organised Clerical Officers to join our busy Childrens Scheduling Team. This is an excellent opportunity to contribute to the smooth running of essential administrative services that support the delivery of high-quality care for children and young people. As part of the team, you will play a key role in ensuring theatre sessions are scheduled efficiently, helping to provide a positive experience for patients and their families. We are looking for candidates who: 1.Have strong organisational and administrative skills 2. Possess excellent communication and interpersonal abilities 3. Are able to work accurately under pressure in a busy environment 3. Demonstrate a caring and professional approach when dealing with children and families

Main duties of the job The successful candidates will provide essential administrative support within the Childrens Scheduling Team, helping to ensure that theatre llists run smoothly and efficiently. On a day-to-day basis, you will: 1. Book, amend, and cancel patient operations using NHS systems, ensuring accuracy at all times 2. Manage incoming calls and emails, responding to queries from parents, carers, and healthcare professionals in a professional and compassionate manner 3. Maintain and update patient records in line with data protection and confidentiality standards 4. Liaise with clinicians and other departments to resolve scheduling issues and ensure effective communication 5. Monitor theatre list availability and escalate any capacity or demand concerns 6. Carry out general administrative tasks such as data entry, and processing correspondence 7. You will play a key role in supporting the delivery of timely care by ensuring children and families receive the correct documentation at the right time, contributing to a positive patient experience.

KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED

Qualifications

Literate and numerate

Education to GCSE grade 4 (C) standard or equivalent

Good command of spoken and written English

NVQ 2 or equivalent level of knowledge /experience in an office or customer care environment

Knowledge/Experience

IT skills including keyboard and data entry, with the ability to demonstrate proficiency in the use of software

Knowledge of relevant administrative systems and clerical procedures pertaining to the department (acquired through job training)

Previous clerical experience - this could include school/college work experience

Work experience in a health or social care setting (desirable)

Previous reception/customer care experience (desirable)

Training

Commitment to undergo job training as required on:

A range of Patient Administration and other Systems.

Participate in in-service and mandatory training

Participate in annual performance appraisal with commitment to agreed Personal Development Plan (PDP)

Special Knowledge

Insight into role and responsibilities of post

Be fully conversant with Trust policies and procedures and have complete understanding of standards to be achieved.

Be aware of key indicators and service level agreements within the department.
